How to convert a bank statement PDF to Excel

Last updated: 17 October 2026

Get every transaction into a clean sheet with real dates and amounts, and check that the balance adds up.

Why copying a statement into Excel goes wrong

A bank statement looks like a table, but inside the PDF it is only words placed at positions on a page. When you copy and paste, Excel receives lines of text: the date, narration, cheque number and amounts end up in one cell, and the heading repeats at the top of every page.

Long narrations make it worse. A UPI or NEFT description often wraps onto a second line, and a simple paste turns that second line into a separate, nearly empty row.

Converting it step by step

Download the statement from your net banking as a PDF (not a photo of the screen) and then:

  • Open the converter on the home page and choose the PDF.
  • Keep "Remove repeated rows" on Yes, unless two identical transactions on the same day are genuine.
  • Keep "Scanned pages" on Automatic.
  • Press Convert, check the preview and the checks panel, then download the Excel file.

What the converter fixes for you

The heading printed on every page appears only once. "Balance brought forward" and "carried forward" lines are set aside so they are not counted as transactions. A narration that wrapped onto two lines is joined back into its row.

Dates become real Excel dates and amounts become real numbers, including Indian grouping such as 1,23,456.78 and amounts written as 1,200/-. Reference numbers with leading zeros, such as 004512, are kept as text so Excel does not drop the zeros.

Checking the result

For a statement, the most useful check is the running balance: each balance should equal the previous balance plus credits minus debits. The converter does this for every row. If one balance does not follow, only that cell is marked red, with the value found and the value expected. That usually points to a misread digit in a scanned statement, or a genuine error in the PDF.

If your statement shows balances with Dr and Cr, tick "Balances written with Dr / Cr" in the checklist so Dr becomes negative and Cr positive.
